10.20 Query Accounts

KB 2854, Release Note, General Ledger, 7/24/2024

Version 10.20 introduces a revolutionary update to Query Accounts, significantly improving the efficiency of accounting detail reviews and ensuring our software meets industry standards.

This update enables Users to effortlessly compare multiple accounts simultaneously by moving the accounts to columns rather than rows. Additionally, the summary section at the bottom of the screen now showcases opening balances, closing balances, and distinct debit and credit amounts. These enhancements not only align our software with accounting practices but also provide Users with an intuitive way to access Month-To-Date (MTD) and Year-to-Date (YTD) values of the selected accounts within the specified date range.

Accessing Query Account Balances

Features

Account Groups: Select one or more account groups from the drop-down, which will automatically include all accounts belonging to the chosen group(s).

Accounts: Choose one or more specific account(s) to query.

Date Range: Utilize the drop-down menu to select various date range options or define a custom range.

Description: Toggle to include or exclude account descriptions on the Query screen.

To access this feature, follow the path: Accounting > General Ledger > Query Account Balances

After selecting your accounts, select the Load button to populate MTD transactions for the selected accounts within the chosen date range. The Total YTD column will display the cumulative YTD balance for the selected accounts.

At the bottom of the screen, our New Dynamic Account Summary displays details for highlighted cells in the grid, showing the Account and Date Range in the header. This summary includes the Opening Balance, MTD transactions (categorized into Debits, Credits, and Totals), and the Ending Balance. Users can use keyboard shortcuts (Ctrl and Shift keys) to select multiple cells, enabling a summary across multiple accounts and date ranges.

To view transaction details contributing to the account balance, click the down arrow on a cell or double-click to open Query Transactions.

Query Transactions

A new column called Running Total is now available in the Query Transactions window, but only when accessed from Query Account Balances. Additionally, new buttons for navigating to the previous or next period have been added, allowing for convenient month-to-month transaction scrolling.

Note: the previous and next period buttons refer to the posting period.

Debits and Credits Columns

Users can now view Debits and Credits in separate columns across various sections of the V10 software, such as Query Transactions, Transaction Details, and Query Schedule Details. This feature can be enabled on User-By-User basis by customizing the columns on these windows.

On one of the windows mentioned above click Right Click > Customize and select the new Debit and Credit columns.

Enhanced Summaries

The Summary sections at the bottom of various accounting screens, including Query Accounts, Query Transactions, Query Schedule, Query Vendors, and Query Customers, have been standardized for improved consistency. These sections now feature a uniform layout and offer a more detailed breakdown of transaction information.
