10.20 Sales Appointment Notifications

In version 10.20, we are thrilled to introduce Sales Appointment Notifications! Dealership staff can now receive internal notifications alerting them about upcoming Appointments assigned to them, along with email notifications for newly created Appointments. This enhancement will assist Users in utilizing Workplan Appointments in v10 and keeping them informed as schedules change throughout the day. These features are available in version 10.20.0 and beyond.

Appointment Notifications

Internal Appointment notifications will notify Users of upcoming Workplan Appointments to which they are assigned to.

To enable this feature, the Appointments Notifications setting within the Workplan Control File needs to be configured to the desired time for notifications to be generated before the appointment.

By default, the field will be blank, which will prevent notifications from generating, maintaining consistent behavior with previous versions. Adjusting this setting to 0 will trigger the notification to generate at the scheduled time of the Appointment. Setting this field to 5 will prompt the notification to generate 5 minutes prior to the scheduled time of the Appointment, and so on.

To access this setting, follow the path: System > Workplan > Maintenance > Control File > Appointment Notifications

Notifications will generate for all Users assigned to the Appointment, and will include the Contact Code, Contact Name, Appointment Date and Time. Clicking on the notification will open both the Appointment and the Customer's contact file associated with the Appointment.

Appointment Email Notifications

When Appointment Email Notifications setting is enabled in the Workplan Control File, Appointment Email Notifications will automatically send emails to Users assigned to Appointments upon creation, using the email address specified in their User profile.

To enable this feature, follow the path: System > Workplan > Maintenance > Control File > Appointment Email Notifications > Enabled

Emails will include the Appointment Date, Time, *Contact Name, Contact Code, and the Details of the Appointment. If a Deal is associated to the Appointment, the Deal Key and Vehicle of interest will also be included.
