10.23 AR Source Division Dashboard

Version 10.23 introduces a major upgrade to Accounts Receivable tracking for Divisional Dealerships with a new Receivables Dashboard. This Dashboard delivers system-wide visibility into Source Divisions, allowing Users to see exactly which Division an Invoice originated from. The results is stronger organization, clearer analysis, and more accurate reporting across both Centralized and Divisional accounting environments.

The Dashboard also includes flexible grouping options and enhanced filters, streamlining reviews of intercompany postings. Users can now quickly pinpoint Sales Division invoices, saving significant time and reducing the complexity of reconciliation tasks.

Setups

Prerequisites

Control File

To generate intercompany lines based on the originating division of a transaction, you must enable the following Control File option:

To enable this feature, follow the path: System > Maintenance > Accounting Control File > General Ledger > Use Transaction's Division for Intercompany Distribution > Yes

Adding the Receivables Page

The Receivables page is included on the standard Accounting Dashboard.

To add it to a custom Dashboard, follow these steps:

1. Click the Gear icon in the top-right corner.

2. Select Add Page and choose Receivables from the list.

3. Click Ok to confirm.

Configuring Receivables Dashboard Settings

When adding the Receivables page to a custom Dashboard, you can configure additional display options.

Steps

1. Click the pencil icon on the Receivables Dashboard page.

2. Use the Account Filter drop-down to select which Accounts to display.

3. Use the Group Filter drop-down to define how results should be grouped.

4. Click Ok to save and apply your configuration.

Night Cap Report Configuration

The Night Cap reporting system now includes Source Division details to support enhanced divisional tracking and analysis.

Configuring Night Cap Summary Reports

1. Navigate to the Dashboard .

2. Click the Gear icon.

3. Select the Nightcap Schedule icon.

4. In the View drop-down, choose Source Division to enable division-based reporting.

5. Set the Frequency (None, Daily, Weekly, Monthly) based on reporting requirements.

6. Define the Last Run date to establish the reporting schedule baseline.

7. Enter Recipient email addresses for automated report delivery.

8. Click Preview to review the report format and content.

9. Click Ok to save the configuration.

Dashboard - Account Receivable

Metrics

The Receivables Dashboard provides key Metrics to help track outstanding amounts and monitor invoice aging:

  • Total Receivables - The total value of all outstanding Receivables across all Divisions.

  • Invoice Count - The number of Invoices that remain unpaid.

  • Largest Invoice - Highlights the highest-value outstanding Invoice.

  • Average Age - Displays the average number of days Invoices have been outstanding, giving insight into the overall health of Receivables.

Views

The Receivables Dashboard offers four distinct views to help organize and analyze invoice data.

To change Dashboard Views, follow the path: Right-Click > View > Select View

  • Customer - Groups Invoices by Customer, with aging breakdowns.

  • Customer Details - Expands the Customer view by including Contact Information for AR follow-ups.

  • Account View - Groups Invoices by the Accounts to which they were posted.

  • Source Division - Groups Invoices by the Division where they originated.

Column Customization Options

Users can further personalize their Dashboard by adding the Source Division column, making it easier to identify the originating Division for each invoice at a glance.

To add a new column, follow the path: Right-Click > Customize > Select Column > Ok

Filtering by Source Division

The Source Division filter enables Users to refine receivables data by Division, allowing for more targeted review and analysis.

To filter the Dashboard results, follow the path: Filter > Source Division > Select Division

Groups

The Receivables Dashboard includes flexible grouping options accessible from the right-hand panel:

  • Aging - Aggregates Invoices by age across all.

  • Account - Displays the Accounts where Invoices were posted.

  • Source Division - Groups Invoices by their originating Division for more focused analysis.

  • Source - Shows Transaction source details along with Source component information.

Insights

The Customer section (bar chart) on the Receivables Dashboard delivers quick insights into Customer activity and Receivables trends:

  • Top Customers by Outstanding Amount - Identify which customers carry the largest balances to prioritize follow-ups and collections efforts.

  • Customer Payment Behaviour - Spot trends in payment timeliness, helping highlight consistent slow payers or customers who may need specific attention.

  • Impact of Key Customers - See how your largest customers contribute to overall Receivables, providing visibility into concentration risk.
